This Privacy Policy explains how MyMoney Expo handles personal information when you use our website, register for or attend an event, submit an enquiry or application, interact with us, or choose to share information with an exhibitor. We aim to manage personal information openly and in accordance with the Privacy Act 1988 Cth and the Australian Privacy Principles where they apply.

1 Who we are and the scope of this Policy

MyMoney Expo is operated by Web3 Australia Group Pty Ltd ABN 53 672 770 204. References to we, us or our mean Web3 Australia Group Pty Ltd in connection with MyMoney Expo.

This Policy applies to personal information handled through mymoneyexpo.com, our ticketing and registration systems, event operations, applications, competitions, marketing, social media interactions and direct communications. It does not govern an independent exhibitor, sponsor, venue, ticketing provider, payment processor or linked website when that organisation handles information for its own purposes.

2 What personal information we collect

The information we collect depends on how you interact with us and may include:

  • identity and contact details, such as your name, email address, phone number, country, postcode and organisation
  • ticketing and attendance details, including ticket type, order reference, registration status, check-in record, accessibility requests and attendee preferences
  • payment and transaction information, noting that full payment card details are generally processed by the payment provider rather than stored by us
  • professional information provided in speaker, exhibitor, sponsor, partner, media, volunteer or employment enquiries
  • communications, survey responses, feedback, competition entries and customer support records
  • images, audio and video captured at the event, including photographs and recordings in which attendees may appear
  • technical and usage information, such as IP address, device and browser information, referring pages, pages viewed, cookie identifiers and interaction data
  • information you choose to provide when an exhibitor scans your badge or when you use event networking or digital features.

3 Sensitive information

We generally do not seek sensitive information. We may collect limited health, disability, dietary or accessibility information when you voluntarily provide it and it is reasonably necessary to support safe and accessible participation. We will seek consent where required and restrict its use to the relevant purpose unless another use or disclosure is authorised by law.

4 How we collect information

We usually collect personal information directly from you when you register, purchase or receive a ticket, submit a website form, apply to speak or exhibit, contact us, enter a promotion, complete a survey, scan into the event or interact with event staff.

We may also receive information from our authorised ticketing provider, payment and registration providers, event partners where you have authorised the sharing, venue and security providers, related entities, public sources and social media platforms. We may collect technical information automatically through cookies, pixels, log files and similar technologies.

5 Why we collect use and disclose information

We may handle personal information to:

  • process registrations, ticket orders and payments, issue tickets and manage entry
  • operate the event, manage capacity, safety and accessibility, and provide attendee support
  • respond to enquiries and assess speaker, exhibitor, sponsor, partner, media or employment applications
  • send service messages, event updates, programme information and important changes
  • provide marketing, news and offers where permitted, and manage communication preferences
  • administer surveys, promotions and competitions under their applicable terms
  • improve our website, event content, services, advertising and audience experience
  • detect fraud, protect security, enforce our terms, manage disputes and comply with legal obligations
  • create event coverage, archives and promotional materials using photographs and recordings.

6 Tickets payments and service providers

Ticketing is currently facilitated through Lüp, operated by eMatter Technologies Pty Ltd. Payments are processed by the payment provider presented during checkout, which may include Stripe. Those providers collect and handle information under their own privacy policies as well as on our behalf where applicable.

We may disclose information to service providers that support website hosting, cloud storage, email and marketing, customer relationship management, analytics, advertising, registration, badge production, event technology, venue operations, security, photography, production and professional advice. We require providers acting on our behalf to use information only for authorised purposes and to protect it appropriately.

7 Exhibitors sponsors and badge scanning

We do not automatically give every exhibitor your contact details merely because you attend. If you allow an exhibitor or sponsor to scan your badge or QR code, complete its lead form, enter its competition or otherwise provide your details, you direct or consent to that information being shared with the relevant organisation.

Once an independent exhibitor or sponsor receives your information for its own purposes, its privacy policy applies. Review the notice displayed at the stand or ask the organisation how it will use your details before sharing them.

8 Marketing communications

We may use contact details to send information about MyMoney Expo and related events, content, products or opportunities where you have consented or where otherwise permitted by law. You can unsubscribe using the link in a marketing email or by contacting us. We may still send necessary transactional or operational messages about a current ticket, registration, application or event.

9 Cookies analytics and online advertising

Our website may use cookies and similar technologies to operate website functions, remember preferences, understand website use, measure campaigns, improve performance and deliver or measure advertising. These technologies may be provided by third parties, including analytics, advertising and social media platforms.

You can adjust browser settings to block or delete cookies. Some website functions may not work as intended if essential cookies are disabled. Where a consent tool is provided, you can use it to manage non-essential cookie preferences.

10 Photographs video and event media

We and our authorised production providers may capture photographs, audio and video at MyMoney Expo for event delivery, reporting, archival, editorial and promotional purposes. Crowd and stage footage may incidentally identify attendees.

If you have a concern about appearing in event media, contact us before the event or speak to event staff on arrival. Where we propose a focused interview, testimonial or featured use, we will seek any additional permission reasonably required.

11 Overseas disclosure and processing

Some technology, cloud, communications, analytics, payment, ticketing, advertising and social media providers may store or process information outside Australia. The countries involved can change depending on the provider and service configuration and may include the United States and other locations where a provider or its subcontractors operate.

Where the Australian Privacy Principles apply, we take reasonable steps required by law in relation to overseas disclosures. You can contact us for current information about the types of overseas service providers relevant to your interaction with us.

12 Data security

We use administrative, technical and physical safeguards that are reasonable in the circumstances to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include access controls, staff practices, secure service providers, encryption in transit and monitoring.

No internet transmission or storage system is completely secure. If an eligible data breach occurs, we will respond in accordance with the Notifiable Data Breaches scheme and other applicable legal requirements.

13 Retention and deletion

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, to maintain appropriate business and event records, and to meet legal, tax, accounting, insurance and dispute-resolution requirements. Retention periods vary according to the type of information and the reason it is held.

When information is no longer required and the law does not require it to be retained, we take reasonable steps to destroy it or permanently de-identify it. Backups and archived systems may retain information for a limited period before routine deletion.

14 Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below and describe your request. We may need to verify your identity.

We will respond within a reasonable period. In some circumstances the law allows or requires us to refuse access or correction. If that occurs, we will provide the notice and reasons required by law. We do not charge for making a request, although a reasonable charge may apply to providing access where permitted by law and disclosed in advance.

15 Privacy complaints

If you believe we have mishandled your personal information, contact us with enough detail for us to investigate. We will acknowledge and assess the complaint and aim to respond within a reasonable period.

16 Children and young people

Our website and event are not directed to young children. If a person under 18 registers or attends, a parent, guardian or responsible adult should review the applicable ticket and event conditions and assist with any personal information choices. We may take additional steps where reasonably necessary to protect a young person’s privacy and safety.

17 Third-party links and services

Our website and communications may link to external websites, ticketing pages, social networks, exhibitor pages and other services. We are not responsible for the privacy practices of an independent third party. Review its privacy policy before providing personal information.

18 Changes to this Policy

We may update this Policy when our practices, service providers, event features or legal obligations change. The current version will be published on our website with the last updated date. We will provide additional notice where a change is material and notice is reasonably required.
